About the Role
The Building Services Coordinator is responsible for coordinating all maintenance activities, including preventive, corrective, and emergency maintenance, across the institute's cGMP manufacturing and research infrastructure. The role ensures equipment uptime, regulatory compliance, and operational readiness of critical utilities and systems. This includes HVAC systems, purified water systems, cleanrooms, electrical distribution, and Building Management Systems (BMS).
Working closely with internal stakeholders and external vendors, the coordinator will manage maintenance through a CMMS, uphold cGMP and EHS standards, and support audits, documentation, and CAPA processes.
Key Responsibilities - Asset & Maintenance Management
- Develop/manage asset register and PM/CM schedules.
- Plan, issue, and track maintenance work via CMMS (e.g., Maximo, SAP PM).
- Prioritize maintenance based on risk to product, safety, and operations.
- CMMS & Data Integrity
- Maintain accurate maintenance records, KPIs (PM completion, MTTR, MTBF), and spare parts inventory.
- Ensure audit-readiness and data compliance.
- cGMP Compliance
- Execute maintenance per GMP, SOPs, and EHS protocols.
- Maintain calibration, validation, and change control documentation.
- Support audits (FDA, TGA, EMA) and deviation investigations.
- Systems Oversight
- Coordinate maintenance for HVAC, BMS, purified water, and cleanroom systems.
- Ensure systems operate within validated parameters.
- Contractor & Vendor Management
- Schedule and supervise external contractors.
- Enforce contractor compliance (SWMS, site induction, safety, GMP).
- Review service reports and invoices.
- Spare Parts & Procurement
- Manage critical spares and reorder levels.
- Conduct stock audits and coordinate procurement.
- Communication & Reporting
- Liaise with tenants, QA, and Engineering to align maintenance with production.
- Provide technical updates and system performance reports.
- Continuous Improvement
- Identify efficiency gains, cost reductions, and reliability improvements.
- Contribute to SOP revisions and system upgrades.
Requirements Essential Qualifications & Experience - Trade qualification (Electrical/Mechanical) and/or Diploma in relevant field.
- 3–5 years post-trade experience in building services or electromechanical systems.
- CMMS proficiency and maintenance planning experience.
- Strong understanding of cGMP/ISO-regulated environments.
- Contractor management and WHS experience.
- Valid QLD driver’s licence (or ability to obtain).
Desirable - Biomedical or laboratory facility experience.
- Calibration/validation exposure.
Skills & Attributes - Strong technical troubleshooting and diagnostic skills.
- Proficient in interpreting P&IDs, schematics, and technical manuals.
- High attention to detail and documentation accuracy.
- Excellent stakeholder communication and time management.
