Administration Officer - Billings

With a busy hospital-based laboratory in Darlinghurst and multiple clinics across metro Sydney and regional areas, our client plays a vital role in delivering fast, reliable diagnostic services to the healthcare community.

About the Role
As an Administration Officer within the Billing Department, you will play a key role in supporting the wider team with pathology billing and general medical administration duties. This position requires a high level of accuracy, attention to detail, and the ability to work efficiently in a fast-paced healthcare environment.


Key Responsibilities

  • Collaborate with Billing Officers and internal teams to ensure the smooth, accurate, and timely processing of billing activities.
  • Process Medicare, Health Fund, and manual billing daily, ensuring compliance with relevant legislation, Medicare requirements, health fund rules, and organisational policies.
  • Review and follow up on Medicare and Health Fund rejections.
  • Conduct daily reviews of held billing batches to ensure timely resolution.
  • Reconcile payments received and investigate discrepancies as required.
  • Maintain accurate and up-to-date patient and billing records across relevant systems.
  • Investigate and resolve billing queries via phone, email, and in person, handling all enquiries professionally and sensitively.
  • Support continuous improvement initiatives within billing systems and processes.
  • Contribute to the implementation and monitoring of service standards, performance metrics, and quality indicators.
  • Assist in the development and review of policies and procedures.
  • Ensure all patient and financial information is handled in accordance with privacy and confidentiality requirements.
Key Skills & Experience
  • Must have direct pathology billing experience
  • Proven experience in data entry within a fast-paced environment
  • High level of attention to detail and accuracy
  • Strong organisational and time management skills
  • Excellent communication and interpersonal abilities
  • Ability to work both independently and as part of a team
