Production Scheduling Assistant - Pharmaceuticals

About the Company
Our client is one of the largest private pharmaceutical companies in Australia and New Zealand. They operate six TGA approved GMP manufacturing facilities across ANZ. 

About the Job: 

Permanent position
Salary: Circa $70K plus super 
Location: Inner city with access to public transport 
Hours of work: 9am to 5pm
Start date: sometime in January 2026

The Production Scheduling Assistant will be responsible for the following tasks:
  • Accept and process customer orders.
  • Prepare and issue the daily manufacturing schedule.
  • Prepare Dangerous Goods (DG) documentation, Air Waybills & shipping labels.
  • Generate product labels
  • Liaise with patients to organise and schedule appointments for the administration of drugs.
  • Liaise with freight providers to coordinate shipments and to ensure efficient utilisation.
  • Report on efficient utilisation of production capacity and freight.
  • Ensure accurate reporting of sales.
About You:  
The successful candidate will have:
  • A Bachelor of Science or similar tertiary qualification (desirable but not mandatory).
  • Demonstrated ability to plan, prioritise, and manage multiple competing deadlines in a time-critical environment.
  • Experience preparing or coordinating transport documentation, including Dangerous Goods paperwork and air waybills (desirable).
  • Well-developed communication skills, with the ability to liaise effectively with internal stakeholders, customers, and external service providers.
  • Competence in Microsoft Office applications (particularly Excel), with the ability to work confidently with production schedules and operational data.
  • The ability to work independently, exercise sound judgement, and escalate issues appropriately.
  • A proactive and improvement-focused mindset, with the ability to identify efficiencies in scheduling, logistics, procurement, and product utilisation.
  • An understanding of, or willingness to learn, GMP and regulatory requirements applicable to pharmaceutical manufacturing.
  • A pre-employment medical will be required prior to the commencement of employment.
